How to open the Jobs List

Overview

Jobs list allows users to see the list of jobs which were created for different offices, contractors, accounts. In the list, you can see main information from a job, debitor data, creditor data and filter by this data.


List description 

PSTD (Posted) - in the column you will see a tick in case the job is already posted.

REC (Reconciled) - in the column you will see a tick in case the job is already reconciled.

ID - the column displays the number of a job.

In case the status of a job “Awaiting Approval” the text in the column will be blue.

In case the status of a job “Alert” the text in the column will be red.

The background of a cell will be green if the job paid. 

For deleted records the background of a cell will be red. 

Date - the column displays job date.

Type - the type of a job displayed in the column.

Sub - the type of a job displayed in the column.

Office - the office of a job displayed in the column.

Bank - in the column will display a company bank of a job in case it is necessary for the selected job type.

In the Contractor column displays the contractor of a job.

Doc. No column contains the document number of a job.

In the Reference column you will see a reference of a job (some comment which entered in the Reference field of a job).

Description of a job displays in the Description column. 

In case the kind of a job transaction is selected for a record you will see it in the Kinds column.

In the transaction you should select the account and responsibility for debitor and for creditor side. This data displays in the list in the columns Debitor, DR. Account, DR. Amount, Cur, CR. Account, CR. Amount, Cur:

Debitor - The name of a contractor of the selected DR. Account.

  1. Account - The name of an account which is selected for the debit side.
  2. Amount - The debit amount in the transaction or sum of the debit amounts of all the transactions of a job.

DR Cur - currency of the debit amount.

Creditor - The name of a contractor of the selected CR. Account.

  1. Account - The name of an account which is selected for the credit side.
  2. Amount - The credit amount in the transaction or sum of the credit amounts of all the transactions of a job.

CR Cur - currency of the credit amount.

CLS (Closed) - in the column you will see a tick in case the job is already closed (Finance period is closed).

Allocated/Alloc.Exp - in columns you will see an allocated amount of a job.

The color of the text will be green for the Allocated column in case the difference of allocated amount and credit amount less than 2. 

Data in Alloc.Exp column displays only for jobs with Invoice type and the color of the text will be green for the column in case the difference of allocated amount and credit amount less than 2. 

In the Left.D column displays the rest of the days to the due date of a job.


How to update a job

The list supports the ability to update selected jobs.

Restore button allows you to restore deleted jobs. You need to filter the list by deleted jobs, use ticks for needed jobs and click the button.

Reconcile/UnReconcile buttons allow you to make a job reconciled or remove this setting. 

Reconcile button available only for UnReconciled jobs.

UnReconcile button available only for Reconciled jobs.

Post/UnPost buttons allow you to make a job posted or remove this setting.

Post button available only for unposted jobs.

UnPost button button available only for posted jobs.

In case you want to update the status of a job you need to use the Set Status button: use ticks for needed jobs and click the button. You will see the toolbar with Statuses selector and Set Status button. You need to select status and click the Set Status button and the status of a job will change.

The color of a row will not change if jobs are in Ok status.

For jobs in Awaiting status color of a row will be blue.

For jobs in Alert status the color of a row will be blue.

You can use the PAY button in case you want to pay job. The tab of the creation of a job will open after clicking on it.

Sorting and filtering

Filtration on the page carried out by Search button or by Enter.

On the top of the page you can see main filters: 

  • Entry ID (filtering by job id), Doc. No (filtering by document number of a job),
  •  Ref.No (filtering by reference of a job), 
  • Office (job office),
  • Company Bank, 
  • Date Type (filtration by dates will occur by date which selected in this selector), 
  • Quick Search (quick search working for all columns in the list), 
  • From Date/To Date,
  • Customer (customer of a job), 
  • Customer Bank (for some job types in transaction need to select customer bank and you can filter the list by it),
  •  Job Type, 
  • Job Subtype, 
  • Statuses. 

Also, on the top of the list is the Calculate Jobs button. By this button you can get the exact quantity of jobs, because the list has per page and all quantity of jobs doesn’t load straight.

By the Filters button you can see more filters on the page.

Description - allows filtering by job description.

Amount - you can specify the exact amount and filter list by it. The list will show all jobs with a specified amount.

Station - allows filtering by station of a job.

Department - allow filtering by department of a job.

FA - you can filter the list by Fixed Assets which select in a job transaction.

TAX - allows filtering by tax of a job transaction.


Also, you can filter by Reconciled/UnReconciled jobs. Use Reconciled and Un-Reconciled ticks. 

In case you want to filter list by posted jobs, you can use Posted/Un-Posted ticks.

For filtration by paid jobs use Paid/Not paid ticks.

Use Allocated/Not Allocated ticks for filtration by allocated jobs.

You can filter list by jobs with checks. Use for it With check/Without check ticks.

In case you want to see jobs where invoice already sent use Invoice sent/Invoice not sent ticks.

For filtration by paid invoices use Paid invoices/Not paid invoices ticks.

Closed - shows list with closed jobs.

Deleted - shows list with deleted jobs.

Overdue - filtration jobs with a due date which falls to selected date range.

NFAlloc - Need For Allocation - shows list not allocated jobs.

By transaction - displays data in the list by transaction. 

By date - filters list by date.

No attachments - shows jobs without attached files


In case you want to clear all selected filters, you can use the Clear Filters button.

Use New button for creating new jobs.

Use the Delete button for deleting jobs - tick record in the list and the button will be available.

All available reports on the page you can see by clicking on the Reports button.

In case report button unavailable select jobs in the list.

In case you can’t find a report, please, check permissions on the page.

Additional information

In case you want a paid job from the list you can use the PAID button at the end of a row.

To view job files or add new you can use the Files button at the end of a row.

The sidebar of adding files will appear if you press the Files button. The icon is blue, in case the attachments are already added.
